Exhibits, Hosting Opportunities, and Hospitality Suites

The 2024 Annual Directed Energy Systems Symposium, to be held in Monterey, California on 18-21 November 2024, will provide an opportunity for your organization to exhibit, host a catered event, and/or obtain a hospitality suite for the week. This page describes these opportunities and provides details on submitting an application.

Exhibits

All exhibit spaces have been sold. If you would like to be placed on a waiting list for any possible cancellations, please contact Cynnamon Spain at cynnamon@deps.org or 505-998-4910. You might also accomplish some of your exhibit goals by hosting a catered event (see below).


Commercial, academic, and government exhibits will play an integral part in the Directed Energy Systems Symposium.

Eight by ten foot exhibit spaces, issued on a first-come, first-served basis, are available for $3000 ($2700 for DEPS Sponsors) and include a 6-foot table, two chairs, and a trash can. Note: electricity is not included with these exhibit spaces. However, electricity and other services will be obtainable from our convention services firm. Exhibit fees include two complimentary registrations: one full-event registration and one exhibit-only registration. A full-event registration allows the staff to attend technical sessions of the Symposium. Exhibit-only registrations include all catered meals, breaks, and receptions Tuesday through Thursday, but does not include attendance at any technical or plenary sessions, proceedings, or other benefits of attendance.

Additional exhibit-only registrations are available for purchase according to the fees shown to the right, which covers the costs of catering for the event. In addition, the complimentary exhibit-only registration can be upgraded to a full event registration for a cost of $725.

Once your exhibit application has been submitted, your exhibit staff can register using this Exhibit Staff Registration form. Note that any additional exhibit staff desiring a full event registration must register using Systems Symposium registration form and pay full price.

Note that exhibit staff attending technical sessions must meet the same security requirements as other Systems Symposium registrants. Please see Security for further details.

Tear Down:    Thursday 21 November    1600-1800 (not before!)

Event Hosting

Corporations may also consider co-hosting a catered event at the Systems Symposium. All hosts receive recognition on our website and in the conference programs. In addition, during the hosted event, a sign is posted recognizing the host. Reception hosts also receive verbal recognition of their contribution. Host opportunities are as follows:

  • Breakfasts (Tuesday, Wednesday, Thursday): $2000 each
  • Lunches (Tuesday, Wednesday, Thursday): $3500 each
  • Exhibitors Reception (Tuesday Evening): Light Hors d'oeuvres - $4500

All host opportunities are available on a first-come, first-served basis. To offer to host one of the catered events at the Systems Symposium, please complete this Event Host Application.


Hospitality Suites

Three hospitality suites will be available at the Hyatt Regency Monterey during the Systems Symposium. A suite is available for the week (check-in Monday and check-out Friday) and runs $2500 for the four nights. This price is for room only (king sized bed included) - all other expenses must be arranged with the hotel.

Suites are available on a first-come, first-served basis. To request a suite, please complete this Hospitality Suite Application.
