The Directed Energy to DC Exhibition (DE2DC) is part of the Directed Energy Outreach Campaign, which has been successfully educating decision makers and warfighters on RF and laser directed energy weapons technologies and capabilities since January 2009. The first DE2DC Exhibition was held in March 2012, where Government and industry from across the United States exhibited mature directed energy hardware at the Pentagon and on Capitol Hill. DEPS is pleased to offer this opportunity for a second year.

The 2013 DE2DC Exhibition will be held in Washington DC on 3-6 June 2013. The event begins with a poster reception at the Rayburn House Office Building on Monday evening, followed by the Rayburn House exhibition on Tuesday. Most exhibits from the Rayburn House Office Building will then be transferred to the Pentagon Courtyard, and more equipment and exhibits will be added for the Pentagon exhibition, scheduled for Thursday.

Exhibit space at the Rayburn House is limited, offering 6x10 foot space with table, suitable for exhibits and posters. The Pentagon Courtyard exhibition offers large 10x10 tented spaces, suitable for exhibits, posters, and large hardware. Exhibit spaces will be distributed on a first come, first serve basis.

Rayburn House Office Building Evening Reception (Room B-340), Monday, 3 June 1600-1900

  • Includes 2x2 poster space and two attendees
  • Posting of material beginning 1500

Rayburn House Office Building Atrium Exhibition, Tuesday, 4 June 1100-1400

  • DEPS Sponsors: $1800; Others: $2100
  • Includes 6x10 space, table, two chairs, and two attendees
  • Standard wall socket electricity available, bring your own power strip and extention cord
  • Participation in Rayburn House Reception also included for two attendees
  • Set up begins at 0900 and tear down immediately following the exhibition

Pentagon Courtyard Exhibit, Thursday, 6 June 0900-1330

  • DEPS Sponsors: $2000; Others: $2300
  • Includes 10x10 tented space, table, two chairs, and two attendees (electricity may be requested)
  • Setup begins at 1100 June 5th and tear down immediately following

Please note that due to security requirements, the last day to submit an exhibit application will be Monday, 20 May.

Government and Military Personnel

DEPS would like to extend an invitation to Government and Military personnel to join us at this important educational event. Your registration for all events at the DE2DC Exhibition is free. Interested parties should contact Tiffany Bjelke at the DEPS office so that you can be included in the necessary access lists.

Accommodations

The recommended hotel for this event is the Residence Inn Arlington Pentagon City, 550 Army Navy Drive, Arlington, VA 22202. We have reserved a block of rooms at reduced rate at the Residence Inn for Exhibitors at this event. To reserve a room, call reservations at 1-800-331-3131 or 703-413-6630 and ask for the DE2DC Group Jun2013. Make your reservations early; the room block will expire on 2 May 2013. Please note that this hotel charges a parking fee of $23 per day.

The hotel reserves the right to enforce its policies, procedures, and cancellation fees. DEPS is not responsible for any hotel cancellation charges, penalties, or billing discrepancies.

Timeline for Exhibitors

To help with crunched set up times, we will have moving vans available to aid in transport of large items (items that will not fit in a regular airport scanner). Arrangements for space need to be confirmed via email to Cynnamon Spain at Cynnamon@deps.org no later than 1200 Monday, 20 May. DEPS staff will be available at the Residence Inn hotel 1000 to 1700 to receive items for transport on Monday 3 June. The vans can transport items to and from Rayburn and to and from the Pentagon.

Rayburn Reception Posters:
The Rayburn House Evening Reception will be held in Room B-340. Posters must be up for the Reception by 1500 on Monday, 3 June. Reception hours are scheduled for 1600 to 1900. Any posters left after this time will be destroyed.

Rayburn Displays:
All items for display must begin entering Capitol Police security no later than 0700 on Tuesday, 4 June in order to be cleared for our load in to the Rayburn Building, which will begin at 0900. Display hours are set for 1100 to 1400, with tear down promptly at 1400 and completed as quickly as possible.

Pentagon Displays:
If you need to drive your items into the Pentagon, you will need to arrive no later than 1000 on 5 June in order to have your vehicle swept. Similarly, you must return your vehicle to be swept by 1400 on 6 June.

Set up times for the Pentagon will be 1200 to 1700 Wednesday 5 June, with display times from 0900 to 1330 on 6 June. Tear down will being immediately following, with all items moved out by 1530.

Security

All Persons participating in the DE2DC event, including delivery drivers and set up personnel, must submit the following security information to DEPS no later than end of day 15, May 2013.

The subject of your request is "Visitor Certification" and should be on agency letterhead or on a form that includes all of the required information. For each individual, the request must include:

  • Full name
  • SSN
  • Full location and date of birth
  • If no clearance exists for the individual then, signed verification of U.S.
  • Citizenship is required
  • Dates of Visit
  • Purpose of Visit
  • POC in individual's agency
  • Background investigation date (clearance date) if no investigation please write " No background investigation, Please run an NCIC check" If we have to run the background check it will take longer than 72 hours to process
